Hotels and stays: from rooming list to reconciliation

Each guest’s hotel, room type, roommate and dates live on one record. Hotels don’t wait for a new version; they see their own list live.

Several hotels and room types

Several hotels per city, airport hotels included. Each hotel has its own room types and room counts, mapped to standard types such as single, double, twin, triple and suite, with custom types and capacities when you need them.

Room assignment and roommates

Assign rooms, see roommates grouped, and move a guest to another room. Stay statuses are expected, checked in, checked out and no-show, with bulk updates.

Taking the hotel’s list back in

Upload the room list the hotel sends back (room number, room type, guest name) from a spreadsheet. Names are fuzzy-matched to existing guests and the room numbers are written to their records.

Allotment tracking and the reconciliation report

See allotment, rooms taken, remaining and over-allocation per room type. After the event, export a reconciliation report: summary, planned and actual nights per room, daily pickup, exceptions (no-shows, day use, early or late check-out, upgrades) and guest detail.

What it doesn’t do yet

  • The hotel can’t check guests in from its link; it is read-only.
  • Allotment is one number per room type, not set night by night.
  • It doesn’t calculate billable nights from your contract; you check the invoice against the reconciliation report.

Frequently asked questions

Do I send the hotel a new spreadsheet after every change?
No. The hotel sees the current list on its own link, so you don’t send new rooming list versions.
How do I check the hotel invoice after the event?
The reconciliation report gives planned and actual nights per room, daily pickup and exceptions on separate sheets; you check the invoice against it room by room.
