Airport transfers: grouping, vehicles and manifests

Guests whose flight and hotel are known are grouped into transfers by your rules, and the team in the field works from the current list.

Rule-based grouping

Arrivals and departures are grouped by time window, vehicle capacity and flight number; guests going to the same hotel, transfer point or venue can be merged. You set category compatibility rules and whether manual changes are kept. Routes can be merged.

Vehicles, fleet and drivers

Define vehicle types and add the driver’s name, phone and plate to each group. The fleet page keeps vehicle codes, assignment type, location, notes and work sessions.

Passenger manifests and the fleet report

Export a master manifest for every transfer, or one for a single route, to Excel. The fleet report comes with summary, reconciliation (with an empty unit-price column and formulas), daily breakdown and guest manifest sheets.

What it doesn’t do yet

  • No live flight tracking; “landed” is set by the team.
  • There’s no separate link per driver; links are opened per date, city or direction.

Frequently asked questions

If a flight is delayed, does the transfer change by itself?
There’s no live flight tracking. When you update the flight time on the guest record, transfer grouping can be redone around the new time, and the team sees the current list on its link.
Do drivers need to install an app?
No. The transfer link opens in the phone’s browser, with nothing to install.

Keep the list live, not in a spreadsheet.

In EventProgrammer each hotel sees only its own guests on a live link, so changes reach it without a new version. After the event, planned and actual nights come out room by room in the reconciliation report, with no-shows and early departures flagged.
