Guest list: from a spreadsheet, a ticket or by hand

However the list arrives, it lands on the same guest record. Missing details don’t block a record; you complete them later.

Spreadsheet and CSV import

Upload the client’s file without cleaning it first. Column headers match automatically using Turkish and English aliases; you pick the rest, and the mapping is remembered for the event.

  • .xlsx, .xls and .csv files
  • Only a name is required: a bad email or a missing date or flight shows as a warning, not an error
  • Unknown category, status or hotel values are mapped in the preview
  • Room types are mapped to the hotel’s room types on import

Duplicates

If the same person comes in twice, they match by email or phone plus name, or by name plus date of birth. Name matching understands Turkish characters. For each duplicate you skip, update or import as new.

Add a guest from a ticket

No spreadsheet? Drop a ticket PDF or image into the add-guest wizard. The passenger name and flights are read with AI (Google Gemini), and you match the flights to the event’s cities.

By hand, across several cities

The wizard walks through personal details, arrival and departure per city, an optional passport image, custom fields and notes, and recovers unfinished drafts. In multi-city events a guest can move from one city to the next.

What it doesn’t do yet

  • It doesn’t read passport images automatically (no OCR).
  • It doesn’t send emails or text messages to guests.

Frequently asked questions

What if the client’s spreadsheet is messy?
Only rows without a name stop. Everything else, such as a bad email, a missing date or an unknown hotel name, shows as a warning and doesn’t block the record; you map it in the preview or fix it later.
What if the same guest is uploaded twice?
It’s flagged as a duplicate before import. You can skip it, update the existing record, or add it as a new one.

Keep the list live, not in a spreadsheet.

In EventProgrammer each hotel sees only its own guests on a live link, so changes reach it without a new version. After the event, planned and actual nights come out room by room in the reconciliation report, with no-shows and early departures flagged.
