How an agency event flows

The client’s list arrives, hotels and transfers are planned, the desk opens on the day, then the hotel invoice arrives. Every step rests on the same guest record.

What you give the client

Ready reports (guest list, arrivals and departures, accommodation, transfer list) export to Excel or CSV. You can also give someone on the client side read-only access with the viewer role.

Working with hotels and transfer companies

Hotel and transfer teams work without an account, from links that show only their own job. You switch personal details on or off per link.

What it doesn’t do yet

  • There’s no quoting, budgeting or invoicing module.
  • It doesn’t send emails or text messages to guests.

What size of event is it for?
It helps most at events with 100 to 1,000 guests moving between several hotels, airports and cities.

Keep the list live, not in a spreadsheet.

In EventProgrammer each hotel sees only its own guests on a live link, so changes reach it without a new version. After the event, planned and actual nights come out room by room in the reconciliation report, with no-shows and early departures flagged.
